Event Badge Holder Checklist: What to Prepare Before Ordering

If you are planning branded badge holders for an event, you don't need a polished brief before asking for a quote. A few practical details make the first reply much more useful.
Use this checklist before you contact me, or send it to the person handling artwork, names, or event logistics.
1. Quantity and order type
Start with the number of holders you need and whether every holder will be the same or personalised.
- Total number of holders.
- Logo-only or personalised with names.
- Any spare holders for late attendees.
- Whether you want a paid sample holder first.
2. Names, roles, and attendee details
If holders need individual names, a tidy spreadsheet saves time. One row per person works best.
- Name as it should appear on the holder.
- Role, team, department, or company if needed.
- Any colour group or attendee type.
- Late additions and replacement names marked clearly.
3. Logo and artwork files
A vector logo gives the cleanest result. If you only have a PNG, send it anyway and I can tell you whether it will work for an early quote.
- Best formats: SVG, AI, EPS, or PDF.
- Useful formats for a first look: clear PNG or JPG.
- Brand guidelines if you have them.
- Notes on any logo detail that must stay readable.
4. Colours and finish
3D printed colours will not always match a brand Pantone exactly, but the design can usually get close enough for event use.
- Main holder colour.
- Logo and text colour.
- Different colours for teams, partners, or attendee groups.
- Any colours to avoid.
5. Lanyards, access cards, and inserts
Tell me how the holder will be worn or used on the day. That helps with hole placement, shape, and how much information can fit.
- Lanyard clip, split ring, or other attachment.
- Access card size if the holder needs to carry one.
- Printed paper insert size if you already have one.
- Whether the holder needs to be kept after the event.
6. Deadline and delivery address
Dates matter more than perfect artwork at the start. If the deadline is fixed, say that first.
- Event date.
- Date you need the holders in hand.
- Delivery postcode.
- Any internal sign-off dates.

Copy this into your first message:
We need roughly [quantity] custom badge holders for [event date]. The holders need [logo only / individual names / names and roles]. Our colours are [colours]. We can send logo files in [format]. Delivery would be to [postcode]. We would also like to discuss [paid sample / full quote / design preview].
